AI for Real Estate Agents Who Cannot Answer During a Showing

You are in a living room with a buyer when the yard sign on your other listing starts ringing. We set up an AI receptionist for real estate that answers that call, gets the facts, and hands the lead to you.

Our own line is answered by the AI receptionist we set up for clients. Call it and judge for yourself.

Leads do not wait for you to finish the showing

AI for real estate agents is most useful at the exact moment you cannot be on the phone: in a showing, at a closing table, or driving between listings when a buyer calls the number on your sign.

Buyers still rely on agents. The National Association of REALTORS 2025 Profile of Home Buyers and Sellers reports that 88% of buyers purchased their home through a real estate agent or broker. That puts a lot of weight on how those buyers first reach you, and much of it happens by phone, from yard signs, listing sites, open house flyers and referrals.

We set up an AI voice agent for real estate that answers your line, talks with the caller about the listing they called about, finds out what they need, and gets the lead to you with notes. It is built on HighLevel, and it works only from the listing facts and rules you approve.

Where real estate calls come from

Each source arrives with a different caller and a different question, so the agent opens each conversation a little differently.

Yard sign calls

Often someone parked out front. They want the price, whether it is still available and whether they can see it today.

Listing site inquiries

Callers who saw the photos online and want details the listing does not show, or a time to tour.

Open house follow-ups

Visitors calling back with questions after the weekend, or asking about a second look.

Seller inquiries

Homeowners asking what their house might sell for or how you work. The agent books a call with you; it does not estimate a value.

Referrals and past clients

People who already know you. The agent takes a message and flags it so you call back personally.

Rental and tenant calls

For agents and property managers who handle rentals: availability, showings and maintenance messages.

Fair Housing guardrails written into the script

The U.S. Department of Housing and Urban Development describes the Fair Housing Act as prohibiting discrimination in housing on the basis of race, color, national origin, religion, sex, familial status and disability. HUD's regulations treat steering, meaning limiting a person's housing choices through words or conduct because of a protected characteristic, as unlawful. Many states and cities add more protected classes of their own.

An AI agent that improvises about neighborhoods could say something no licensed agent would. So we keep it narrow on purpose:

  • It talks about the property: price, size, features, status, showing times and open houses
  • It does not describe who lives in an area, or suggest areas based on who the caller is
  • Questions about schools, safety, places of worship or "the kind of neighbors" are passed to you, so you answer them the way your brokerage requires
  • It asks every caller the same intake questions, in the same order

We describe the law here for context only. It is not legal advice, and your broker and attorney decide what your agent may say.

Outbound calls and the consent rules

Speed matters with new leads, and outbound calling is part of our AI Pro package. It is also the area with the most legal exposure. In a Declaratory Ruling released February 8, 2024, the Federal Communications Commission confirmed that the Telephone Consumer Protection Act's restrictions on artificial or prerecorded voices cover AI technologies that generate human voices, so calls using them need the called party's prior express consent unless an exemption applies. The FTC's Do Not Call rules for sales calls apply as well, including honoring a person's specific request not to be called.

  • We set outbound calls only for people who asked to hear from you, such as a website form with consent wording your broker approved
  • We do not load purchased lists, expired listings or cold-call numbers
  • A caller who says "do not call me" is marked so the system stops

Texting is not live yet. Voice works today. Text messages (missed call text back, text reminders and texted review requests) switch on once carrier approval clears; that approval is the A2P 10DLC registration US carriers require for business texting from a regular local number. Lead follow-up runs by phone and email until then.

Showing requests and your calendar

HighLevel's voice agent can offer open times and confirm a booking during a live call, using the calendar settings you control, which decide which times can actually be booked. For agents, that usually means a showing request block rather than a hard booking, because access, the seller's schedule and the lockbox are your call.

The agent never gives out lockbox codes, gate codes or door instructions, and never confirms that a home is vacant. It also asks whether the caller has signed with another agent, so you are not surprised at the door.

If you already use a real estate CRM, we check whether leads can be sent into it before we promise that. Otherwise they land in a HighLevel pipeline with the call summary attached. See AI appointment booking and CRM automation.

An AI receptionist for property management

Property managers get different calls: prospects asking what is available, current tenants with a broken dishwasher, and the occasional real emergency at night. The agent is set up with your rules for each.

  • ProspectsUnit availability, rent you approved, pet rules as you wrote them, and showing requests.
  • MaintenanceUnit, problem, access permission and callback number, sent to the person you name.
  • EmergenciesThe situations you define go to your on-call number by transfer. Anyone describing fire, a gas smell or danger is told to call 911.

Fair Housing applies to rentals as much as sales, so the same intake rule holds: same questions for everyone, and no screening decisions by the AI.

Beyond the phone: chat, lead generation and marketing

Once the phone is handled, the same listing facts can power an AI chatbot for real estate agents on your website, answering the same questions with the same Fair Housing limits. AI for real estate lead generation and marketing, such as landing pages, email follow-up for new inquiries and review requests after a closing, is covered on our AI lead generation page. Brokers with several agents can run multiple voice agents on AI Empire.

Call our main line and ask it the questions a buyer would ask. The AI receptionist that answers is the same kind of agent we would set up on your number.

What it does not do

  • Give legal advice or decide what your brokerage allows; Fair Housing and consent questions go to your broker or attorney
  • Describe neighborhoods, schools or safety, or steer callers toward or away from any area
  • Estimate a home value, negotiate price or discuss offers and contracts
  • Give out lockbox codes, access instructions or occupancy details
  • Call anyone who has not given consent, or load purchased lists
  • Screen tenants or approve applications
  • Connect to your real estate CRM or MLS tools until we have confirmed it can
  • Send texts before carrier approval clears

Questions agents ask about AI for real estate

Which AI is best for real estate agents?

The best AI assistant for real estate agents is the one that matches where you lose leads. If calls from signs and listing sites go to voicemail while you show homes, start with a voice agent on your number. If most inquiries come through your website, a chat widget may matter more. Whatever you choose, ask how it handles Fair Housing questions and whether it makes outbound calls only with consent. Our guide to choosing an AI agency lists more questions.

Can an AI receptionist answer calls for a real estate agent?

Yes. It answers on your existing number, usually through call forwarding, and talks with callers about the listings you have loaded: price, beds and baths, square footage, open house times and whether the home is still active. It asks whether the caller is working with an agent, offers a showing time or takes a request, and emails you the details. Anything about offers, contracts or neighborhoods goes to you.

Can an AI voice agent make outbound calls to real estate leads?

It can on our AI Pro package, but only to people who gave consent to be called. In February 2024 the FCC ruled that calls using AI-generated voices count as artificial voice calls under the Telephone Consumer Protection Act, which means prior express consent is required. Do Not Call rules also apply to sales calls. We do not load purchased lists or cold-call numbers, and your brokerage and attorney should review any outbound campaign.

How do I use AI for real estate agents without breaking Fair Housing rules?

Keep the AI to listing facts and logistics, and send every question about who lives in an area, which schools are good or whether a neighborhood is safe to the human agent, who answers under the brokerage's own policy. The Fair Housing Act prohibits discrimination based on race, color, national origin, religion, sex, familial status and disability. This is general information, not legal advice; check with your broker or attorney.

Is there an AI receptionist for property management?

Yes. For property managers, the agent answers questions about available units, takes showing requests and records maintenance calls with the unit, the problem and a callback number. Emergencies you define, such as water pouring through a ceiling, can be transferred to your on-call number. The agent does not approve applications, screen tenants or promise repair times.
