An AI Answering Service for the Calls Nobody Is Free to Take

Your number keeps ringing as it does now. When you do not pick up, or the office is closed, the call forwards to an AI that answers, takes the message and sends it to you.

Our own line is answered by the AI receptionist we set up for clients. Call it and judge for yourself.

What an answering service is for

An AI answering service covers the hours and moments when no one at your business can get to the phone: after closing, on weekends, and when the line is already busy or the call rings out.

That is the job answering services have always done. A business answering phone service picks up in your name, deals with what it can and passes the rest along as a message. The difference here is who is on the line. Instead of an operator reading your script at a call center, a voice agent answers from the facts and rules we configure with you.

It is a narrower job than a full AI receptionist. Some owners only want the gaps covered and would rather answer every call themselves when they can. This page is for them.

Three ways to set up AI answering

An AI answering service for small business usually starts with one of these. Pick the one that matches when you want help; you can change it later.

After hours only

The AI after hours answering service picks up once you close and hands the line back in the morning. Callers at night hear your business name and a real answer to the basics instead of a beep.

Overflow

Your phone rings first. If you do not answer, or you are already on a call, it forwards to the AI. Busy midday stretches stop sending callers to voicemail.

Every call

The AI answers every time and transfers the calls you want to take yourself. This is closer to a full front desk, and it is how our own main line works.

Call forwarding from the number you already have

The AI does not replace your phone number. It answers on a number of its own on the platform, HighLevel's LC Phone or a connected Twilio number, and your current line forwards calls to it. There are two common kinds of forwarding.

  • Forward every callEach call goes straight to the AI. Used for the "every call" setup and for after-hours periods if you switch it on when you lock up.
  • Forward when busy or unansweredOften called conditional forwarding. Your phone rings first, and only the calls you do not pick up, or that arrive while you are on another call, move on.

How you turn it on depends on your carrier. Verizon's own guide, for example, says dialing *71 and the forwarding number sets up No Answer/Busy Transfer for a wireless line, with the phone ringing three or four times first, and *73 turns it off. Other carriers use different codes or a setting in the phone. Business phone systems and landlines have their own menus. We check this with you for your line, and we test it with real calls before relying on it.

AI answering compared with a staffed answering service

Neither is better in every case. This is what tends to differ, so you can match it to your calls.

The Bureau of Labor Statistics describes a receptionist's phone work as answering the telephone and taking messages or forwarding calls, alongside scheduling and confirming appointments and greeting visitors in person. If most of your calls need a human to calm someone down or make a judgment, a staffed service or a person on payroll is the better choice. How the three options, AI, a staffed service and a hire, stack up side by side is covered in AI receptionist vs answering service.

Messages you can actually act on

An answering service is only as good as the message it leaves you. A useful one has the caller's name, a number that works, what they want, and how soon they need it. We build the agent to collect those four things before it lets the caller go, and to repeat the number back.

On HighLevel each call is kept in a call log: caller number, time, duration, the summary, the transcript, the recording and any action the agent took, such as a booking. A post-call email sends the summary to the address you choose, so you can work through the evening's calls over coffee the next morning.

Texting is not live yet. Voice works today. Text messages (missed call text back, text reminders and texted review requests) switch on once carrier approval clears; that approval is the A2P 10DLC registration US carriers require for business texting from a regular local number. Until then, every message and alert reaches you by email, and callers are not promised a text.

Not a voicemail greeting, not a phone tree

Two cheaper tools get confused with answering services. An automated business voicemail greeting plays your recording and saves whatever the caller chooses to say, which only helps if they leave a message and leave it clearly. A business automated phone answering system, the "press 1 for sales" kind, routes calls by keypad but cannot answer a question.

An AI answering service holds a conversation. The caller asks whether you serve their area in plain words, and gets an answer. That is the reason to pay for it. If your callers would be fine with a menu or a voicemail, save the money.

Our AI answering services cost the same as an AI voice agent, from $297 a month, or come inside the AI Starter package at $597 a month with CRM automation, review management and reporting. Full details are on pricing.

What this service leaves to you

What it does not do

  • Make decisions on urgent or emergency calls; it can transfer them to you or take a message
  • Give legal, medical or financial advice, or create an attorney-client relationship
  • Serve as a HIPAA compliance program or record clinical or patient-record detail
  • Supply human operators; we do not staff a call center
  • Set up forwarding on a phone system that does not support it
  • Read your booking or practice software until we have confirmed the connection for your system

Answering service questions

What is an answering service?

An answering service answers a business's phone calls when the business cannot, usually after hours or when the line is busy, and passes the messages along. Traditionally that meant operators at a call center reading from a script you provided. An AI answering service does the same job with a voice agent, answering from the information and instructions you approved.

How does an answering service work?

Your calls are forwarded to the service, either all the time or only when you do not answer. The service greets the caller with your business name, handles what it was told to handle, such as basic questions or booking, and takes a message for everything else. The message is then delivered to you; with our setup that is a call summary by email, plus a call log with the transcript and recording.

What is an AI phone answering service?

It is a phone answering service where the voice on the line is software rather than an operator. It hears the caller, works out the request and answers out loud. On HighLevel, the platform we build on, the agent can also book an appointment into a calendar or transfer the caller to a phone number you choose.

Can I keep my business number with an AI answering service?

Yes. The AI answers on its own number on the platform, and your existing business number forwards to it. Most carriers offer forwarding when a line is busy or unanswered as well as forwarding of every call. Verizon wireless, for example, uses *71 plus the forwarding number for no answer or busy forwarding. Check your own carrier's instructions, because codes and options differ.

What happens when the AI answering service gets a call it cannot handle?

It takes a message. We write that into its instructions: when a caller needs a price for a job nobody has seen, advice it should not give, or something it was not told about, the agent says so, collects the caller's name, number and reason, and makes sure the message reaches you. If you want urgent calls passed to a person, we set up a transfer to the number you pick.
